Gather several representative months of meter readings or print reports. Separate black-and-white and color output, and note busy periods. A property management office preparing monthly owner packets may need different paper handling from a reception desk printing a few forms throughout the day.

  • Print and copy: monthly pages, peak jobs, paper sizes, color use and two-sided output.
  • Scan: typical batch size, two-sided originals, required file formats and approved destinations.

  • Equipment: exact model, new or previously used condition, included accessories, number of payments and payment amount.
  • Starting costs: deposit or advance payments, delivery, installation, network configuration and training. Ask which are included.
  • Service: recurring minimum, included black-and-white and color pages, overage rates, billing interval and any rate-adjustment provisions.
  • Other charges: ask about taxes, insurance requirements, administration charges, supply delivery and anything billed outside the quoted monthly amount.

Compare proposals over the same period and at the same expected usage. If one includes more pages, different accessories or a longer term, ask for those differences to be made explicit. Review a normal month and a busy month rather than relying on the lowest advertised payment.

Keep optional items separate until you decide whether you need them. Ask your accountant to review tax and accounting treatment for the particular agreement before including any assumed benefit in your budget.

Get specific about pages, supplies and service

Write down what counts as a billable page, how meters are collected, whether color has a separate allowance, and what happens to unused pages. For multiple devices, confirm whether allowances are shared or measured separately.

Then identify the covered equipment, parts, labor and supplies. Ask explicitly about toner, drums, waste containers, paper, staples and shipping. Know who provides the equipment, who holds the lease and who performs service. Keep the relevant contact details with the signed documents, especially if different organizations handle billing and repairs.

  • Upgrade or early exit: request a written explanation of remaining obligations, fees and any balance carried into a replacement agreement. Do not assume that an upgrade cancels the old commitment.
  • Purchase: confirm whether an end-of-term purchase option exists and how its price is determined. Ask how any fair-market-value provision works.
  • Return: confirm the destination, responsible party, shipping arrangements, required condition and documentation.
  • Device data: agree with your IT contact and provider how stored information will be handled before the equipment leaves your control. Request documentation of the agreed process.
